The Oregon Convention Center calendars the USA Track and Field Annual Meeting in the Oregon Ballroom from 29 November to 7 December. USA Track & Field runs the meeting from 3 December to 6 December. Both dates come from publishers holding the booking, and the nine calendar dates carry eight room nights against a four-day programme.
The Record That Dates the Building
The venue page prints the span above the room name: November 29 to December 7, Oregon Ballroom. The same page carries a schema.org Event block with the same span in machine form, startDate 2026-11-29T06:00:00-08:00 and endDate 2026-12-07T23:59:00-08:00.
The page carries no door time and no session clock. The entry also sits under the venue calendar for November 2026. Its own breadcrumb dates it to that month while the programme runs in December.
USATF dates the same meeting on its event page with a date and time block: December 03 - 06, 2026, 12/3 8:00 AM to 12/6 5:00 PM.
The dated record on the venue site therefore describes the booking. A reader who wants the programme leaves the venue site for the organiser’s.
The Programme the Organiser Publishes
USATF dates the programme to the hour. Sessions run 8:00 a.m. to 5:00 p.m. across 3 to 6 December. The Opening Session starts Thursday at 5:00 p.m. The Officials Hall of Fame Banquet starts Friday at 6:00 p.m. The Awards Breakfast starts Saturday at 6:30 a.m. Night of Legends starts Saturday at 6:00 p.m. The Closing Session starts Sunday at 8:00 a.m.
Four Nights Inside Eight
The hold carries eight nights. A delegate who collects a credential on Wednesday, attends every session and stays for the Sunday close needs the nights of 2, 3, 4 and 5 December.
The remaining four nights belong to the building. Three run 29 and 30 November and 1 December, before the credential window opens. One runs 6 December, after the Closing Session.
Build and strike time carries a date, a cost and a room night. The venue entry prints neither window.
The Load-In Clock Sits With the Show Manager
The venue publishes a Move In and Move Out page. It carries the dock on NE First Avenue, 18 loading bays, three drive-in ramps and the freight route, and it sends the timing question to the show manager. The page asks the exhibitor to work closely with the show manager and confirm the assigned load in time and the appropriate ramp.
That assigned load-in time is the move-in window. The venue assigns it per booking.
What the Calendar Should Print
Three fields would end the ambiguity. Held from, held to, and the event dates inside them. A move-in window and a move-out window belong beside the dates as fields of their own.
None of that data needs collecting. The booking record already produces 29 November and 7 December. The show manager already assigns the load-in time. The organiser already publishes 3 to 6 December.
What the Desk Quotes
A hotel sales desk reads a venue calendar for dates and nights. The venue entry gives eight nights for this meeting. The delegate stay inside it is four.
An enquiry carrying the venue span asks for a week. An enquiry carrying the programme asks for four nights. A quote that names both ranges lets the guest pick, and the build nights get priced as build nights.
One rule makes the quote defensible. Take the room nights from the organiser’s clocks: credential pickup on Wednesday 2 December, the first session on Thursday, the Sunday close at 8:00 a.m.
The Publishing Decision
Print the hold and the programme as two dated lines on every calendar entry. Give move-in and move-out their own fields beside them. A venue that prints both spans lets a reader plan either window without a call to the show manager.
The Oregon Ballroom entry for 3 to 6 December would then read for what it is: four session days inside an eight-night hold.
