What the 20,000 measures
The Indiana Convention Center forecasts 20,000 attenders for the Monumental Health and Fitness Expo in Exhibit Hall A-B on November 6, 2026. The National Science Teaching Assn Fall Convention on the same dates carries a forecast of 4,000 in the same building.
No source publishes how many of the 20,000 take a hotel room, and the organiser's site carries no participant count. Beyond Monumental reports general registration for all in-person distances as sold out, with limited charity entries remaining.
The room arithmetic as a ceiling
Measure the forecast against the venue's own downtown inventory of 7,100 rooms, of which 4,700 connect to the convention center by skywalk. At two attenders per room, 20,000 needs 10,000 rooms, or 140.8 percent of downtown stock. At three per room it needs 6,666 rooms, or 93.9 percent. At four per room it needs 5,000 rooms, or 70.4 percent. At one per room it needs 20,000 rooms, or 281.7 percent.
Each figure is a ceiling. Each one assumes every attender takes a room, and each one draws those rooms from downtown inventory alone.
A one-night revenue ceiling follows the same way. The Downtown Indy Alliance snapshot that Bradford Allen republished on March 19, 2026 puts downtown average daily rate at $209.11. Ten thousand rooms at that rate is $2.09 million for one night. Twenty thousand rooms at that rate is $4.18 million. Both assume those rooms sell at the published average.
The two-night structure the organiser publishes
Beyond Monumental opens packet pickup on Thursday, November 5, from 4 to 7 p.m. and on Friday, November 6, from 11 a.m. to 8 p.m., both at the Indiana Convention Center. Those windows run three hours and nine hours. Race day clears early. Gear check opens at 6:30 a.m., the marathon and the half marathon start at 8 a.m., the 5K starts at 8:40 a.m., and the course closes at 3:30 p.m.
A Thursday arrival serves a three-hour window. A Friday arrival serves a nine-hour window and the Friday night. Saturday carries no published race function after the 3:30 p.m. course close.
The block decides a month out
The organiser books through a 2026 hotel block website with "Attendee" selected in a dropdown and no access code. Guest occupant names are due September 29. Penalty-free cancellation closes October 8, and a $25 fee applies per reservation cancelled after that date. New reservations and added nights run October 5 to October 16, with the date varying by hotel. Changes to existing reservations go through the Visit Indy Housing Bureau until October 22. After October 22 the guest deals with the hotel directly, and reservations cancelled or marked no-show after that date are charged by the hotel.
The block's booking website opens on an attendee-type dropdown and an access-code field. Its landing page carries no property list, no distance band and no nightly rate.
The dates carry other demand
The NSTA Fall Convention runs November 4 to 7 in the same building at a venue forecast of 4,000. The expo's Friday shares its day with that convention's third day. The Midwest Healthcare Engineering Conference and Trade Show runs November 8 to 10 at a forecast of 600, and the IU Health Leadership Development Institute takes November 10 at 2,200.
The risk, named
Three published conditions cut against a two-night case. Inventory arithmetic puts 20,000 attenders at two per room above downtown's 7,100 rooms, so the forecast depends on a conversion rate no publisher states. The race ends at 3:30 p.m. Saturday, so the second night carries no race-side anchor. Penalty-free cancellation closes October 8, a month before the race, so the block's size is set before participants decide anything about travel.
Downtown occupancy ran 64.7 percent, and the U.S. average ran 62.4 percent. Downtown average daily rate read $209.11 at a 12 percent year-over-year increase, and downtown revenue per available room read $135.20 at a 13 percent increase, on the Downtown Indy Alliance snapshot citing CoStar and STR that Bradford Allen republished on March 19, 2026.
Metro performance reads weaker. Newmark's fourth-quarter 2025 Indianapolis report, on Kalibri Labs data, puts year-to-date metro revenue per available room at minus 4.8 percent. The Midwest average reads minus 0.7 percent, and the top 104 U.S. markets read minus 1.2 percent. The report's RevPAR index for Indianapolis reads 0.914, second of the 16 Midwest markets it ranks.
New supply lands on this market after this weekend. Newmark's supply table lists the Signia by Hilton Indianapolis at 814 rooms for the fourth quarter of 2026, which is 11.5 percent of the 7,100 downtown rooms. Bradford Allen reports the same building at 800 rooms in a 38-story tower beside a 143,500-square-foot convention center expansion. The venue's own expansion page states 803 rooms.
The position restated. The expo supports one night on published evidence, the Friday. A hotel that holds inventory for the Saturday night carries that risk with no published source behind it.
