The booking on the record
The Indiana IT Symposium occupies the Indiana Convention Center on Wednesday 14 October 2026. The venue forecasts 300 attendees and assigns the day to Sagamore Ballroom 4-5. SIM Indianapolis hosts the event and EFM Events produces it.
The venue publishes the room set. Sagamore sections 4 and 5 measure 6,667 square feet each and seat 806 in theatre configuration each. The pair gives 13,334 square feet and 1,612 seats, which is 40 per cent of the ballroom's 33,335 square feet. A forecast of 300 fills 18.6 per cent of those seats and leaves 44.4 square feet for each delegate.
The venue footer carries the city denominators on every page. Downtown Indianapolis holds 7,100 hotel rooms, and 4,700 of them connect to the building by skywalk.
What the organiser publishes
The organiser’s platform carries the day envelope: 8:30 a.m. to 4:30 p.m. on 14 October, US Eastern. The published agenda runs 33 sessions and labels every one of them Sagamore Ballroom. Check-in and breakfast open at 7:30 a.m., the welcome message runs 8:30 to 8:50, the opening keynote runs 8:50 to 9:35, and the closing keynote runs 3:45 to 4:30 p.m. A reception follows to 6:00 p.m.
Two keynotes top the agenda. Jeff Ton is president of Ton Enterprises LLC. Shawnee Delaney is chief executive of Valliance Group and a former clandestine services officer at the Defense Intelligence Agency.
The organiser publishes a sponsorship contact through Brian Gargano at EFM Events. It publishes no room block, no group rate, no cut-off date and no registration price.
The guest list behind the forecast
The speaker and panelist list is the clearest published read on where the 300 come from. The agenda names executives from CNO Financial, Lilly, the NCAA, Elanco Animal Health, Labcorp, Red Gold, the Indiana Public Retirement System, the Indiana Management Performance Hub, Ivy Tech Community College, DePauw University and TechIndiana, alongside CountryMark, Allegion, Openlane, Lazer Logistics, Cox Automotive, Shepherd Insurance, BraunAbility, TCC and the City of Indianapolis.
Four editions support the read on repeat business. The organiser’s past-events page carries the 2025 edition on 10 September 2025, the 2024 edition on 12 September 2024 and the 2023 edition on 14 September 2023, each at the Indiana Convention Center. Every one of those dates is a weekday, and the 2026 edition moves to October.
Ask the organiser for the attendee origin split before anyone prices a block. The speaker list states where the speakers work, and it states nothing about where the delegates live.
Terms for a single day
A one-day programme delivers one room night at most. Ask for a cut-off date in writing, and ask for attrition measured on rooms rather than on room-nights. The two measures diverge on a single-day booking, because the delegate who attends and drives home leaves the room count short.
Ask the hotel for the Wednesday rate on its own terms, then ask what Tuesday and Thursday cost. A one-day booking can carry either shoulder for the organiser’s set-up crew.
The day sits inside a working building. The venue calendar carries the Best Practices Expo & Conference at 1,200 across 13 to 15 October, Metal Treating Institute’s Furnaces North America at 1,500 across 12 to 15 October, the Economic Club of Indiana Luncheon at 300 on 13 October and the IT Symposium at 300 on 14 October. The four sum to 3,300 against 7,100 downtown rooms.
What the room night is worth
A pickup of 300 rooms is 4.23 per cent of the venue’s downtown room count and 6.38 per cent of its skywalk-connected count. One night of 300 rooms is $62,733 at the $209.11 downtown average daily rate that Downtown Indy Alliance reported through CoStar and STR. The same night is $40,200 at the $134 October par rate that Engine publishes for the Indianapolis market. Both figures assume every delegate takes a room.
The venue’s set clock adds two dates to the record. Event specifications reach the Event Coordinator 25 days before the first move-in day, which is 19 September for this event. Specifications received inside the 30-day line, which is 14 September here, may incur charges. Both dates sit behind the event.
