Two Calendars, One City
The AI Conference 2026 runs September 29 to October 1 at Pier 48, Shed A and B, 48 Pier 48, San Francisco, CA 94158, in the Mission Rock district. The organiser's FAQ gives the window as September 29 to October 1 beginning at 8:00 AM PST. The venue list names four presentation halls, a vendor and sponsor presentation area, and an atrium where mixers and food and beverage are served. The list carries no sleeping rooms.
The housing layer sits in a toggle list on the same FAQ page under Hotels, headed "The AI Conference nearby hotels! Listed in order of availability." Eight properties follow, each with an address, a distance and a booking link. Seven of the eight publish a direct phone line. W San Francisco does not.
Seven of the eight publish a cut-off date. The dates run from August 28 at Luma Hotel San Francisco to September 6 at the Hyatt Regency San Francisco.
What the Cut-Off Dates Say
Measured to the September 29 opener, the earliest cut-off falls 32 days out and the latest 23 days out. Luma closes August 28 at 32 days. Cartwright Hotel Union Square, Hotel Fiona and Hotel Julian close August 29 at 31 days. W San Francisco closes September 1 at 28 days. Hotel VIA closes September 2 at 27 days. The Hyatt Regency closes September 6 at 23 days. SoMa House publishes no cut-off.
The block expires before the event it was built for. A procurement reader can act on that.
The Benchmark the Market Publishes
Kalibri Labs, in a U.S. Groups and Meetings report with PwC, measured group booking lead time with data to September in 2015, 2016 and 2017. The report defines lead time as the days between the group booking entering the property's PMS as a reserved date and the day of arrival. The U.S. figure grew from 17.7 days to 18.5 days. The San Francisco MSA sat at 24.2 days, the third longest of the markets the report lists, behind New York at 27.4 days and Miami at 25.5.
The latest cut-off sits one day inside that 24.2-day benchmark. The earliest sits close to eight days beyond it. The window the organiser negotiated holds rooms for roughly as long as the market's own measure says San Francisco group business takes to arrive.
What Was Conceded Is Not Published
Luma Hotel San Francisco sits 0.3 mile out at a six-minute walk. Hotel VIA sits 0.6 mile out at nine minutes on foot. The Hyatt Regency sits 1.6 miles out at nine minutes by car. W San Francisco sits 1.8 miles out at fifteen minutes. SoMa House and Hotel Fiona both sit 1.9 miles out at eleven minutes. Cartwright sits 2.3 miles out at twelve minutes. Hotel Julian sits 2.4 miles out at thirteen minutes.
No room rate publishes on any of the eight entries. No attrition term, no performance clause, no deposit line, no minimum stay. A procurement director can measure the block's shape and expiry date. The director cannot measure the price, or see what was conceded to hold the rooms.
Three Rooms Still on the List
Three of the toggle titles carry a STILL AVAILABLE suffix: SoMa House, W San Francisco and Cartwright Hotel Union Square. Read in the week of October 7, the organiser's own list offered three of eight.
The rooms the block left unsold returned to the houses' own channels for the final 23 to 32 days before arrival. Engine's San Francisco page puts the city at $165 a night across 3.1 million par-rate observations from May 2024 to April 2026. September sits at $192, 16 percent above the city average. March at $197 and September at $192 are the two published peaks of the twelve months. Par rates are the cheapest publicly available nightly rate per hotel per search, pooled across searches made 10 to 180 days before check-in. The cut-off dates fall inside that observation window.
The Scale Disagreement on the Same Site
The organiser's own pages do not agree on the programme's size. The home page hero reads "3 days, 7 tracks, 120+ speakers." The FAQ answer on who will be speaking reads "3 DAYS, 5 TRACKS, 120+ SPEAKERS." The home page body copy reads "five curated tracks," and again "two full days of five-track programming." Five is corroborated three times on the organiser's own pages. The hero's seven stands alone.
A room block built against a programme that two of the organiser's own pages describe differently cannot be sized from the public record. The attendance line splits too. The organiser publishes 5,500-plus builders, researchers and leaders for the two-day main conference on September 30 and October 1. Day Zero, September 29, carries a cap of 350 participants, which the Day Zero page lists as sold out.
The Terms That Do Publish
Commercial terms exist on this event, and they sit on the ticket book rather than the room book. Team Tickets end September 11. Registration can be cancelled up to 30 days out for a full refund less a 5 percent processing fee. Day Zero sells as part of a full three-day pass.
Eight properties were listed to carry the demand. Seven named a date on which they would stop holding rooms.
What the Record Supports
The record supports a narrow position. The organiser captured a block and released it 23 to 32 days before the doors opened. The block publishes no rate, so the concession stays invisible to anyone outside the deal. Three of the eight entries still read available. The city's own published group lead time is 24.2 days on 2015 to 2017 data, which places the release at the edge of when San Francisco group demand is entered.
The housing commitment ran out ahead of its own demand. The record does not say why, and no page carries the rate, the attrition term or the room count behind it.
